Depending on your organisations' jurisdiction, you may be asked to complete a privacy assessment before using Houseplay. To assist with this we have compiled some commonly required information below.

Software purpose

Houseplay is designed to assist PE teachers in running sports carnivals.

Teachers are able to:

• Log in to their secure Houseplay account
• Invite other teachers as users, in an 'Admin' or 'Marshal' capacity
• Create and manage carnivals, including adding students to events
• Manage student data
• Record student results
• View summary data on a carnival dashboard

Students do not use Houseplay.

User roles

Admin users

• Can mange organisation data such as houses, grades, divisions, event types, lanes, and records
• Can manage the Houseplay subscription
• Can create/invite new users to join by email address
• Can create, edit, and remove student records
• Can import student records
• Can create carnivals and events
• Can add and remove students from events
• Can view students name, grade, gender, and house
• Can view competitor results

Marshals

• Can create carnivals and events
• Can add and remove students from events
• Can view students name, grade, gender, and house
• Can view competitor results

Data management

There is some organisational data that is required for Houseplay to function:

• School name
• Teacher name
• Teacher email address

There is some student data that is required in order for Houseplay to function:

• Student name
• Student gender
• Student grade
• Student house

Additionally, there is some functionality that school's can opt-in to using, and that requires extra data:

• Student date of birth (required for the running of age-based carnivals)

Finally, there are some fields that are not required, but can be stored for convenience:

• Student ID

Data storage

All data is stored on physically secure servers in Melbourne, located in a facility run by NextDC. More information about the certification and security of this facility can be found on NextDC's website. This data is not replicated to data centers in other countries.

Houseplay also uses a 3rd party error-reporting system. No student data is ever transmitted to this system - only the email address of a logged in user who experiences an error condition are logged to this service.

Data ingress/egress

Houseplay can import student data from a CSV or Excel file. The data it ingests is limited to the fields listed above in "Data Management".

Houseplay also allows for export of certain data. As well as the fields listed above in "Data Management", some Houseplay-specific fields can be included in this export:

• Details of events in which students competed
• The results (timings, distances, etc) of students who competed
