Import competitors into events

Use a CSV or Excel file to add selected students to existing individual events.

Use this import when individual events already exist and you have a list of selected entrants. Put these headings in the first row of your CSV or Excel file:

ColumnExampleWhat to enter
Event ID123The existing event’s ID from this carnival. Open the event’s Competitors page and use the number in its URL after /events/.
Student IDRHS0001An existing student’s ID. This is the most reliable way to match a student.
First NameNoahUse with Last Name if you leave Student ID blank.
Last NameSmithUse with First Name if you leave Student ID blank.

Add one row per student and repeat the Event ID for students in the same event. For example, these rows assign two students to event 123, first by ID and then by name:

Event IDStudent IDFirst NameLast Name
123RHS0001
123OliverTran

Replace 123 with your event’s actual ID and use students already in your organisation. If you provide both an ID and a name, the Student ID takes priority. Team events are not supported.

Import selected competitors

  1. Open your carnival’s Events list and choose Import Competitors.

  2. Download the sample CSV file for the four column headings. Replace its example IDs with an Event ID from this carnival and your students’ details. Keep one student per row.

  3. Choose the CSV or Excel file and select Upload. For Excel, Houseplay reads the first sheet, uses row 1 as headings and skips blank rows. Nothing is assigned until you confirm the preview.

  4. Compare Created, Skipped and Errors with your file. Check each Event ID and student. An existing entry is skipped; an unknown ID or ambiguous name is an error. Use Re-upload to correct the file before importing.

  5. Select Import to assign the students shown as Created in the preview.

  6. Open the event’s Competitors page and check that the intended students are listed before result entry begins.

The importer matches Student ID exactly. If you use names, both names are required and a name shared by multiple students produces an error. Review the event list after import; see Add and remove competitors from an event if you need to correct an entry manually.
