Import events from CSV or Excel
Import individual events and their competitors from a CSV or Excel file.
The event import creates or finds individual events and assigns one student from each file row. Put these headings in the first row of your CSV or Excel file, then repeat the event details for each student entering the same event:
| Column | Example | What to enter |
|---|---|---|
| Event Type | 100m run | An existing event type name. |
| Division | Junior | An existing division name. |
| Genders | Male | One or more configured genders, separated by commas. |
| Grades or Ages | 8 | Use Grades for a grade-grouped carnival or Ages for an age-grouped carnival. Separate multiple values with commas. |
| Student ID | RHS0001 | One existing student ID per row. |
| Event Group (optional) | 1 | A number to keep otherwise identical events separate, such as two heats. |
For an age-grouped carnival, the first rows of the file could look like this. The two 100m run rows repeat the event details and add different students to that same event. The 200m run row creates a new event with multiple genders and ages:
| Event Type | Division | Genders | Ages | Student ID |
|---|---|---|---|---|
| 100m run | Junior | Male | 14 | RHS0001 |
| 100m run | Junior | Male | 14 | RHS0002 |
| 200m run | Junior | Male, Female | 14, 15 | RHS0003 |
For a grade-grouped carnival like the one in the video, use Grades instead of Ages and enter grade values such as 8. Use student IDs that exist in your organisation.
Set up the event types, divisions, grades or age categories, and student IDs before importing. Team events cannot be imported this way.
Import events and entrants
-
Open your carnival’s Events list and choose Import Events. Download the sample file if you need a starting template.
-
Choose your prepared CSV or Excel file and select Upload. Houseplay reads the first sheet of an Excel file. You can review a preview before anything is saved.
-
Compare New Events, Competitors, Skipped and Errors with your file. Check the rows, and use Re-upload if anything needs fixing.
-
Select Import, then check the success message and the new event in Events. Open its Competitors list to verify the students were assigned.
Rows matching an existing event add their students to that event. A student already entered in the event is skipped. The optional numbered Event Group separates otherwise identical events, such as two heats. Check the preview carefully before importing; it is the place to catch unintended event grouping.
