Import school records

Import historical school records from CSV or Excel and verify them in the school record list.

If your school already has historical records in a spreadsheet, an organisation admin can import them so they are available when checking new carnival performances. You will be able to review a preview before saving.

Prepare a CSV or Excel file with the event type, gender, competitor name, result and grade or age for each record. The event types and grades need to exist in Houseplay before you import the file.

Import the record file

  1. Open Settings, then Records. Open the menu beside Add Record and choose Import Records.

  2. Choose the prepared CSV or Excel file and select Upload. The upload page lists the accepted columns and result formats; compare them with your file first. For Excel, only the first sheet is read; row 1 holds the headings and blank rows are skipped. Time results such as 1:02.35 keep their fractions of a second.

  3. Check the Suggested columns and match each Houseplay field to the corresponding column. Suggestions use headings, known event types, genders and grades, and plausible dates. Confirm them before continuing. Map Grade or Age as appropriate, then choose Save Import Settings.

  4. Compare the New, Update, and Error counts with your file. Inspect the rows and How dates were read for Set On. Dates are displayed as 3 Apr 2012; if day-first was assumed, check a few dates. Use Change Mapping to adjust a choice without losing the others, or Re-upload after changing the file. Import only after the preview is correct.

  5. Choose Import, then check the success message and the new records in the school-wide list. Review any reported errors before using the records to judge carnival results.

Houseplay matches an imported record by event type, gender, competitor name and grade or age. Check Update rows especially carefully before importing because they replace matched record details. No records are deleted just because they are absent from this file.

For one correction, maintain the record manually. For a result flagged during a carnival, review the potential record.
