A student row failed to import
Use the student import preview to find a failed row, correct its source or mapping, and retry safely.
If a student row is marked Error in the import preview, Houseplay has not added or updated that row. The message under Details explains what needs attention, either in the file itself or in the way its columns were mapped.
You can use the checks below to correct the problem and try again. Other valid rows can still be imported, so review any unexpected errors before confirming the import.
Check the error and its source
| What the preview shows | What to check |
|---|---|
| Values in the wrong fields | Use Change Mapping to check suggested columns and pair each Houseplay field with the right one. Your other choices are kept. |
| A missing required value | Fill in the student’s first name, last name, gender, grade or house in the file. |
| A gender, grade or house could not be found | Compare the spelling with the values in Settings. Differences in capitalisation are accepted. |
| A date of birth doesn’t match the column’s format | Check How dates were read above the preview. Houseplay reads the whole column to work out its format, then names the expected format in the row error. Write every date the same way, such as 25/12/2012 or 2012-12-25. |
| Existing name with a different student ID | Compare the school register with the existing student before changing either ID. |
| Damaged names or unusual headers | For CSV, check the file’s encoding and formatting. For Excel, check row 1 of the first sheet. |
Once you have corrected the file, choose Re-upload and check the preview again. Review the corrected rows and the counts before choosing Import. If you need help preparing the file, Prepare a student file that will import cleanly explains the file requirements.
If you already imported the valid rows
If you imported the valid rows before fixing the errors, you can upload the corrected file again. First, check the success message and Students list to see which students were saved. Keep the same student IDs and review the new preview’s New and Update counts before confirming.
When retrying a partial file, leave Delete students not present in the import file off. This prevents students who are absent from that file from being proposed for deletion.
If the upload itself fails, check that you selected a .csv, .xlsx or .xls
file no larger than 10 MB. An unsupported file shows Choose a CSV or
Excel file. If the import reports a student-limit error, it has not been saved.
You will need to resolve the package limit before trying again.
